Future membership and competition management platform

Water Polo Australia recently announced that it has selected Squadi as its new national membership and competition management provider.

Water Polo Australia’s public announcement indicates that Squadi will undergo a test phase in early 2027, followed by a proposed national rollout ahead of the 2027/28 season. WPNSW has also been advised that implementation of the new national arrangements is proposed to commence from 1 March 2027. 

The Board of Water Polo New South Wales wishes to advise members, clubs, associations, officials and volunteers of the position that WPNSW will take in relation to this proposed change.

WPNSW will continue using RevSport

WPNSW has met with its current technology provider, revolutioniseSPORT, commonly known as RevSport, to discuss the continuation of WPNSW’s existing registration, membership, competition and administration systems beyond 1 March 2027.

RevSport has confirmed that it is able and willing to continue providing these services to WPNSW.

Accordingly:

WPNSW will not transition its State registration, competition and administration operations to Squadi on 1 March 2027.

There is presently no approved date for WPNSW to transfer its State operations from RevSport to Squadi.

WPNSW members and clubs should continue to use their existing RevSport registration, payment, competition and administration processes unless and until they receive different instructions directly from WPNSW.

WPNSW is not and will not be asking members or clubs to establish Squadi accounts for WPNSW competitions or registrations at this time. You should not do so until advised directly by WPNSW.

Why WPNSW is taking this position

WPNSW supports the introduction of new technology where it can provide a genuine improvement for members, clubs, volunteers, officials and administrators.

However, a statewide registration and competition platform is a critical operational system. It contains membership records, financial transactions, club information, competition entries, player eligibility information, fixtures, results, ladders, historical records, accreditation information and communications data.

The Board considers that WPNSW should not move thousands of members, numerous competitions and the operations of its affiliated clubs to a new platform until the proposed system and transition arrangements have been thoroughly demonstrated and successfully tested.

This is not a rejection of Squadi. It is a responsible, evidence-based approach intended to protect members and clubs from the disruption that could arise from a rushed or incomplete transition.

Requirements for any future transition

WPNSW will consider moving to Squadi only when Water Polo Australia and Squadi have demonstrated a transparent, properly documented and seamless process that satisfactorily addresses:

• the complete and accurate transfer of current and historical member, club, financial and competition information;
• the continuation or replacement of every material function currently used by WPNSW and its clubs;
• registrations, renewals, payment collection, fee splitting, refunds and financial reconciliation;
• team entries, player eligibility, grading, fixtures, results, ladders, statistics and competition reporting;
• club, association and State administrative structures, including appropriate access permissions;
• duplication or improvement of current club/district web sites.
• referee and official management, accreditations and relevant compliance records;
• integration with national membership, insurance, education, accreditation and national event requirements;
• privacy, cybersecurity, data ownership, data retention and authorised access arrangements;
• prevention of duplicate member records, duplicate accounts, duplicate data entry and duplicate fees;
• appropriate training and support for club volunteers, competition administrators, officials and members; and
• tested contingency and recovery arrangements should difficulties arise during implementation.

A promotional demonstration or general description of the platform will not, by itself, be sufficient. WPNSW will require practical testing against the actual requirements of water polo competitions and the existing operations of WPNSW and its affiliated clubs.

National registrations and national competitions

WPNSW recognises that Water Polo Australia may use Squadi for national competitions, programs or its national member register before WPNSW transfers its State operations.

Where a particular national event or national program requires a separate Squadi registration, specific instructions will be issued for that activity. Using Squadi for an individual national event will not mean that WPNSW has transferred its broader State registration and competition operations.

WPNSW will continue discussions with Water Polo Australia to ensure that, during any period in which the two organisations use different platforms:

• NSW members remain properly recognised for national membership purposes;
• national capitation and insurance arrangements are properly maintained;
• members remain eligible for relevant national competitions and pathways;
• information can be exchanged accurately and securely; and
• members and clubs are not required to unnecessarily register twice or pay the same fee twice.

These arrangements must be documented before any different registration requirements are imposed on NSW members and clubs.

What members and clubs need to do

No action is presently required.

Members and clubs should:

• continue using their existing WPNSW and club RevSport portals;
• continue following the current WPNSW registration and competition processes;
• not create duplicate member records or transfer WPNSW information to another platform unless instructed to do so by WPNSW; and
• rely on official WPNSW communications for any changes affecting NSW registrations or competitions.

WPNSW’s current systems and processes will continue beyond 1 March 2027.

Next steps

WPNSW will work constructively with Water Polo Australia, Squadi and RevSport during the proposed testing and implementation period.

The Board will also seek input from clubs and the administrators and volunteers who use the current system before approving any future transition.

Members and clubs will be kept informed. Any eventual change will be communicated well in advance and will include clear instructions, appropriate training and a properly tested implementation plan.

The Board’s priority is to ensure that any future platform is reliable, secure, fit for the requirements of water polo in New South Wales and demonstrably better for the people who must use it.
